Based on the feedback that we received from our clients, here is our secret technique we would like to share with you. Apply these 3 secret techniques to improve how to prepare a good plastic CSR Project!

 

Initial meeting with their project team

Having first contact with the team is a very important step to having a successful project. It is a way to get the partnership relationships established and expectations set.

Conducting an initial meeting with their project team is something that you may want to do. For example, with one of our partners, Zalora, they wished to renew their contract with us.

It was necessary for us to have a meeting to brainstorm and have a better understanding of the expectations for the renewed partnership.

List of materials you need to cover

Presentation of the stakeholders on both sides (roles and responsibilities).

This is especially important to recognize each person's role in the project but also to know who to contact if you have any concerns on a specific matter.

Presentation of your Plastic CSR targets.

This will let the partner have a better understanding of what you are looking to do in your new plastic CSR project. And therefore, have a better proposition of what to put forward in terms of actions they can complete for you and your company. In The Plaf, we have different services that tailor each partner's needs. So understanding what they are looking for is crucial for both parties.

Presentation of your validation process and other requirements on your end (legal, due diligence, budget, etc.)

Each company has its own process and requirements that they follow. Making sure that these will not cause too many obstacles is essential. It is key that all these are clearly stated at the beginning of the relationship to avoid any confusion in the long run. Each company that works with the Plaf has its own sets of requirements, by knowing them early, we are able to prepare and anticipate.

For example, some of our partners ask for validation before being able to post about them on our social media. In this case, we anticipate these posts by doing them earlier so that we ask for confirmation before and therefore we won’t be late in posting.  

 

 

The drawing up of a detailed project description

Creating a document

After this initial meeting with the team, having a clear written-up document with a detailed project description. You may ask your partner to review and create this document.

Here is a possible table of content that your partner can follow:

  • Program summary

  • Problem description

  • Proposed solution

 Adding a detailed scope in the description

Here are the key elements to include in the description:

  • Milestones and timeline. Timelines are indispensable in these kinds of projects, as they allow these projects to run smoothly and efficiently.

  • Impact KPI

  • Budget

  • Reporting. This allows you to have traceability over the project and consequently have more control over the project.

  • Disbursement schedule. In The Plaf, this varies from partner to partner. Some ask for monthly, quarterly or even yearly payments.

  • Communication deliverables

  • Team presentation

  • Other successful similar projects (if any)

Validation of the project details

After having the first meeting and the document with the project drawn up, you will have to validate everything that has been said and written up. Check with your partner if everything is clear

  • Review the detailed project description

  • Plan some meeting(s) to discuss further and validate the project details

Once the project is validated, you can move to your internal approval process and to the phase of preparation and negotiation of the contract, which we will discuss in the next post.
